Catawiki is an online curated marketplace where buyers and sellers trade unique items across categories and countries. That scale brings payment complexity.

When Catawiki’s VP Finance joined, he immediately saw the risk: the numbers didn’t line up. Stripe data and the internal platform told different stories. Finance was closing the books with doubt instead of certainty.

The challenge

Transactions had to be matched line by line at detail level. That work was done manually. It didn’t scale and it wasn’t reliable. In a setup with multiple countries and complex tax flows, reconciliation between order data, payment data and the internal data warehouse had become fragile.

The team spent its time chasing mismatches and correcting errors instead of controlling the business. The problem wasn’t reporting. It was structural.

Solution

Catawiki chose Actuals to create a single source of truth between Stripe and their internal systems. Within two days, a proof of concept was live. The goal was simple: fix reconciliation at the source and remove manual stitching from the process.

Actuals connected Stripe and the internal platform to the data warehouse, automated journal entries and made mismatches visible on a daily basis.

Results

Finance now works from solid numbers. Mismatches and bugs are identified early. Month-end moves faster. Manual effort is reduced. Journalisation, which would have been unrealistic to build internally, is handled structurally.
